The Enterprise Year-End Close, Done Right
Year-end at Enterprise scale is not the same task it was on a single-entity file. More users, more inventory, and more moving parts mean a close that runs on discipline and sequence, not heroics in the final week.
The goal is a set of numbers you can hand to your accountant — and defend to an auditor — without a second pass. That comes from working the close in the right order.
Reconcile everything with a balance
Nothing else in the close is trustworthy until reconciliations are clean. Work through every account that holds cash or a subledger.
- All bank and credit card accounts, to the statement.
- Inventory asset tied to the valuation summary.
- AR and AP aging agreeing to the general ledger.
- Loan and clearing accounts brought to zero or to schedule.
A close is only as solid as its weakest reconciliation. One stale clearing account can hide a real problem all year.
Review before you adjust
Run a comparative profit and loss and balance sheet against the prior year. Large swings are where errors hide — a miscoded expense, a duplicated entry, an item pointed at the wrong account. Investigate the anomalies before booking any adjustments.
Book adjustments cleanly
Depreciation, accruals, and reclasses should go in as clearly memoed journal entries, dated in the correct period. Vague or undated adjustments are exactly what an auditor flags first.
Handle inventory and payroll deadlines
Reconcile a physical count to the system and record any writedown before you lock. Payroll has hard external deadlines, so confirm wage and tax totals early rather than in the closing crunch.
Lock the period and control access
Once numbers are final, set the closing date with a password held by one owner. Enterprise then flags any attempt to touch the closed period, so late changes are visible and deliberate rather than silent.
Archive and hand off
Save a snapshot of the final reports, back up the company file, and give your accountant a clean package. A tidy handoff shortens the review and keeps the professional relationship efficient.
